Easy to use, intelligent, and functional best describe Zambion's Timesheets. Like all of the information in Zambion, Timesheets are available online for up to 7 years providing a rich and accurate account of working history. Furthermore, Zambion's Timesheets are very transparent with all Timesheet related allowances, shift loadings, overtime and so on clearly visible. Time data can be sourced from time clocks, rosters, telephone (Panztel), as well as the Zambion Mobile App.
TIMESHEETS AND ADVANCED AWARD INTERPRETATION
At the heart of Zambion's Timesheets is the integrated Advanced Award Interpretation engine. Award Interpretation is also known as Timesheet Rules, Employee Contract Rules, or Company Payroll Rules. When start and end times are entered (i.e. from time clocks, the mobile app, the web, rosters, 3rd party devices such as Point of Sale terminals, Excel Spreadsheets, or by hand), Zambion Timesheets will automatically calculate in real time the applicable ordinary hours, shift allowances, overtime hours (i.e. time and one half, double time etc), shift loadings and so on.
PUBLIC AND STATE / REGION HOLIDAYS IN TIMESHEETS
All Public Holidays are automatically entered and clearly displayed on the timesheet along with the name of the holiday. When staff work on a Public Holiday Zambion will automatically apply the Australian Holiday act to staff who meet the legislative requirements (ie otherwise working day) and will be paid Time and a Half and given a Day in Lieu. Staff can then view their Day in Lieu balance as well as apply for their Day in Lieu through the Zambion Leave Application process. All Day in Lieu entitlements are clearly audit stamped with the holiday name and date/time of the entitlement.
TIMESHEET COST CODING
Zambion Timesheets can be easily costed to multiple cost centres. By default Zambion will set the cost centre from the staff's rosters, timeclock location, or the staff member's home cost centre. Additional cost centres can be quickly and easily entered and the appropriate hours assigned and Costing Blocks used if required. Leave Types such as Personal Leave, Annual Leave etc can also be automatically costed to specific cost centres if desired.
LEAVE MANAGEMENT AND TIMESHEETS
All leave is clearly shown on the timesheets and is colour coded depending on the leave type. OFF days, Training Days and all non-standard work types are also colour coded and clearly marked on the timesheet. All leave is automatically linked to the roster and appropriate leave requests.
TIMESHEET APPROVAL PROCESS / MANAGING COSTS
A key function of Zambion's Timesheets is the approval process. At its base level, timesheets are submitted and approved before being processed for payroll. However, depending on your requirements timesheets can be approved at a 3rd level using custom rules. In addition, reasons/approver signatures can be entered next to overtime allowing management to see that overtime has been checked before being paid.
USING MULTIPLE AWARDS IN A SINGLE TIMESHEET
With Zambion Timesheets you can have as many awards as desired. There are no limitations. By default staff are set up with a base award but this can be overridden using roles. For example staff may work in multiple roles throughout the pay period and each role may be governed by different awards. (i.e. half the day may be working on a forklift, the other may be performing admin duties). This is not a problem for Zambion's Timesheets. Swapping and recording role changes is simple!
ROSTERS AND TIMESHEETS
Rosters are shown along-side each shift worked and any variances are calculated then displayed. If staff work overtime, or more than 10% below their roster, the variance amount will show and be colour coded. Reports such as the Timesheet versus Roster Report can be produced to show if shifts are being cut short or budgets are being exceeded.

To provide a richer and more accurate account of work history, comments can be added to Zambion's Timesheet area. These comments are date stamped along with the authors name when added.
Zambion Timesheets have up to nine user definable columns such as Time and One Half (T1x5), Double Time (T2) and so on. This means that only the required columns are shown on the timesheet which simplifies the users view. Additionally, smart columns such as TOIL (Time Off In Lieu) can be added so when hours are assigned to this column they are then credited to a TOIL leave ledger for later consumption.
TIMESHEET SUMMARY PAGE
In large departments, or departments where staff work the same hours from week to week, it is not efficient for timesheet approvers to go into each individual timesheet and approve them separately. Instead Zambion offers the Timesheet Summary page. This page shows a summary of hours worked in their appropriate columns (i.e. Ordinary hours, overtime hours, leave and so on) and the approver can bulk approve timesheets accordingly.
